These Service Terms and Policies are incorporated by reference into the Agreement for Translation Services between Global Interpreting Services (GIS) and Client. These terms provide detailed operational procedures and policies governing our translation services.
1. Translation Process and Workflow
- Client submits documents for translation through GIS’s online portal or via email.
- GIS will review the submitted documents and provide a detailed quote within 24-48 business hours.
- Quote will include estimated word count, total cost, and expected delivery timeframe.
- Client must approve the quote before translation work begins.
- Upon quote approval, GIS will assign qualified translator(s) and commence work.
- Completed translations will be delivered via email in the client’s preferred format. Physical copies are available upon request and will be printed and posted within 24-48 hours at an additional fee.
- Rush services are available upon request and may incur additional fees.
2. Duties and Responsibilities
GIS Responsibilities:
- Global Interpreting Services are available to receive translation requests 24 hours a day, 365 days a year.
- GIS shall provide Qualified, Professional and Certified Translators as appropriate for each project.
- GIS will maintain confidentiality of all client documents and information.
- Any complaints, conflicts, or other issues should be immediately directed to the Executive Vice President and/or CEO of GIS for resolution.
Client Responsibilities:
- Client is responsible for providing clear, legible source documents. Poor quality documents may affect translation accuracy and turnaround time.
- Client must approve quotes before work commences.
- Client must provide timely feedback on completed translations if revisions are needed.
3. Quality Assurance and Revisions
- All translations undergo quality review before delivery to ensure accuracy and completeness.
- Client may request revisions at no additional charge if requested within 3 days of delivery and if the revision is due to translation error.
- Revisions requested due to changes in the source document or client preference changes after quote approval will incur additional fees.
- Certified translations, when requested, are produced on company letterhead with a certification cover page, stamp, signature, and contact details, attesting to a true and accurate translation of the original.
4. Additional Terms and Conditions
File Formats:
- Accepted file formats: Microsoft Word (doc or docx), PDF (scanned or editable), and image files (JPG or PNG). Other formats may be accepted upon request.
- Original source documents must be clear, legible, and concise. Handwritten documents, poor quality scans, or documents with unclear text may require additional processing time and fees.
Specialized Services:
- Additional charges apply for certification services, notarization, and expedited/rush delivery. These services must be requested in advance and will be included in the project quote.
- Sworn translations are required for official translations into French, Spanish, Italian, Polish, Czech, and certain other languages. GIS uses authorized sworn translators in those countries. Notarised and legalised translations are available to meet foreign embassy and authority requirements. Additional fees apply for these specialized services.
Turnaround Times:
- Standard turnaround time for certified translations is 48 hours. Urgent and same-day options are available upon request and may incur additional fees. Exact timeframes will be provided in each quote.
- Changes to project scope or requirements after quote approval will be assessed and may result in revised pricing and adjusted delivery times.
Confidentiality:
- GIS maintains strict confidentiality protocols. All translators and staff are bound by confidentiality agreements. Documents will not be shared with third parties without client consent.
Document Ownership and Edits:
- Client retains all rights to translated documents upon full payment of invoices.
- GIS is not responsible for changes or edits made to documents after final delivery. Additional edits or modifications requested after delivery will be treated as new translation projects and quoted accordingly.
5. Payment Processing Details
- Please include the invoice number with your payment for proper processing.
- Accepted payment methods: Check, Money Order, ACH, Credit Card (Visa, Mastercard, American Express, Discover).
- Credit card payments can be processed securely through our online portal or by phone.
6. Changes to These Terms
GIS reserves the right to update these Service Terms and Policies to reflect changes in our services, legal requirements, or business practices. Updated terms will be posted at this URL and become effective immediately upon posting. Continued use of our services after any such changes constitutes acceptance of the updated terms.
